How to Migrate Data Safely to a New System: Technology article by MOKRIN Technologies

Moving to new software almost always means moving data: customers, orders, documents, and years of history. Data migration is one of the riskiest parts of any system change, and careful planning makes it predictable.

Understand the data first

  • What data exists, and where?
  • Which data is still needed, and which can be archived?
  • How clean is it? Look for duplicates, missing fields, and inconsistent formats.
  • What business rules are hidden in the old data?

Map old to new

Define how each field in the old system corresponds to the new one, including transformations such as splitting names or converting codes. Involve people who use the data daily; they know its quirks.

Clean before you move

Fix duplicates and errors before migration where possible. Migrating messy data simply moves the mess.

Rehearse

Run the migration on a copy of the data multiple times. Each rehearsal reveals issues and measures how long the real migration will take.

Validate thoroughly

  • Compare record counts between old and new systems.
  • Check totals such as balances and order values.
  • Have users verify samples of familiar records.

Plan the switch

  • Choose a time with low activity.
  • Decide whether to freeze changes in the old system during migration.
  • Prepare a rollback plan in case something goes wrong.
  • Communicate clearly with staff and customers.

Keep the old data accessible

Retain a read-only copy of the old system or an archive for a period after migration, for reference and audit.

A migration is successful when nobody notices it happened.

MOKRIN plans and executes data migrations with mapping, cleaning, rehearsals, validation, and rollback plans, so your business keeps running throughout.
