RPA vs API Automation: Which Approach Is More Reliable?: Automation article by MOKRIN Technologies

There are two broad ways to automate work across systems. Robotic process automation (RPA) uses software robots that mimic a person clicking through screens. API automation connects systems directly through their programming interfaces. Each has a place.

How RPA works

An RPA bot follows recorded steps: open an application, click a field, type a value, press a button. It can automate systems that offer no other way in.

  • Works with older systems that have no API
  • Can be set up without changing the underlying software
  • Breaks when screens change, even slightly
  • Slower and harder to scale
  • Needs ongoing maintenance as applications are updated

How API automation works

Systems exchange data directly through defined interfaces.

  • Fast, reliable, and scalable
  • Unaffected by changes to screen layouts
  • Easier to test, monitor, and secure
  • Requires the systems to offer an API, or a custom one to be built

When to use each

  • Use APIs whenever they are available.
  • Use RPA as a bridge for legacy systems without APIs, ideally temporarily.
  • Consider building an API layer around important legacy systems for long-term reliability.

Hidden costs of RPA

RPA can look cheaper initially, but maintenance costs grow as bots break with each system update. For critical processes, this fragility can be expensive.

Automate through the front door when you must, and through an API whenever you can.

MOKRIN prefers API-based automation for reliability and builds integration layers for legacy systems, so automation keeps working when screens change.
