How to Prepare for Your First Consultation with a Development Team
What to bring, what to think about beforehand, and the questions that make a first conversation genuinely useful.

A first consultation is your chance to explain your idea, test whether a team understands you, and learn what it would take to build. A little preparation makes it far more productive. You do not need technical knowledge, just clarity about your business.
Describe the problem, not just the solution
Instead of "we need an app with these screens", explain the problem: who is affected, what they do today, and why that is painful or expensive. Good teams often suggest simpler solutions once they understand the problem.
Know who the users are
- Who will use the software: customers, staff, partners, or all three?
- How many people, roughly, now and in a year?
- What devices do they use, and where?
Define what success looks like
Think about how you would know the project worked. Fewer hours spent on manual work, more bookings, faster responses, or a product customers pay for are all measurable outcomes.
List existing systems
Note the tools and data the software must work with: accounting, CRM, spreadsheets, payment providers, or older internal systems. Integrations often shape the plan.
Think about constraints
- Budget range, even approximate
- Deadlines and why they matter
- Regulatory, privacy, or security requirements
Bring examples
Screenshots of tools you like or dislike, rough sketches, and sample documents or data all help a team understand faster.
Questions to ask them
- What would you build first, and what would you leave until later?
- What risks do you see?
- How will we see progress?
- Who owns the code when it is paid for?
The best consultations feel like working sessions, not sales pitches.
