How to Calculate the ROI of Automation

A simple, honest method for estimating what automation will save, including the costs that are easy to forget.

How to Calculate the ROI of Automation: Automation article by MOKRIN Technologies

Before investing in automation, it helps to estimate the return. A simple calculation clarifies whether a project is worth doing and which processes to automate first.

Step 1: Measure the current cost

  • How often does the task happen each month?
  • How long does it take each time?
  • What is the cost of that time?
  • How often do errors happen, and what does each one cost to fix?

Multiply frequency by time and cost to get a monthly figure, then add the cost of errors.

Step 2: Estimate the improvement

Automation rarely removes all of the work. Estimate the share of cases that will be fully automated and how much time remains for exceptions and reviews.

Step 3: Count all the costs

  • Building the automation
  • Licences, hosting, and usage fees
  • Maintenance as connected systems change
  • Time spent on reviews and exceptions
  • Training and change management

Step 4: Calculate payback

Divide the total upfront cost by the monthly saving to see how many months it takes to pay back. Compare this across candidate processes to choose where to start.

Benefits beyond hours

  • Faster response times for customers
  • Fewer errors and less rework
  • Better data for decisions
  • Capacity to grow without hiring proportionally
  • Happier staff who spend less time on repetitive work

These are harder to quantify but often significant.

If you cannot estimate the saving, measure the process first. That alone often reveals the best opportunities.

Measure after launch

Compare real results against your estimate. This builds confidence and improves future estimates.

MOKRIN helps clients estimate automation value before building, and includes measurement so the actual savings are visible after launch.
